Inside Sales Representative

Overview

The Inside Sales Assistant provides administrative and sales support to the Sales Department by reviewing, verifying, and processing project orders in different systems. This role ensures data accuracy, maintains required documentation, assists with reporting and tax compliance, and performs general front desk and customer service duties.

 

Essential Duties and Responsibilities:
⦁    Support a culture that promotes safety as a top priority while ensuring compliance with all federal, state and company regulatory policies and procedures.
⦁    Review project and order information to verify accuracy, completeness, and proper documentation before processing.
⦁    Enter and update project data in internal systems, ensuring pricing, tax, and escalation information are correct.
⦁    Distribute completed project summaries and updates to the appropriate departments and team members.
⦁    Review plans and specifications to identify key project requirements and share information with sales staff.
⦁    Maintain and update project details, including materials, tax exemptions, and other related data.
⦁    Run and distribute various sales and operational reports, such as project schedules, invoicing summaries, and escalation updates.
⦁    Assist with cost updates, project adjustments, and special reporting as needed.
⦁    Verify and maintain tax exemption certificates and ensure proper documentation for applicable projects.
⦁    Store and retrieve project-related records, invoices, and supporting documents as needed for research or audit purposes.
⦁    Answer incoming phone calls and emails for Sales, Dispatch, Quality Control, Billing, and Credit departments.
⦁    Greet and assist visitors, vendors, and delivery personnel.
⦁    Manage daily administrative tasks to support office efficiency and ensure smooth operations.
⦁    Maintain the reception area and breakroom supplies, ensuring cleanliness and readiness for staff and visitors.

Qualifications

⦁    High school diploma or equivalent required; Associate’s degree preferred.
⦁    2+ years of experience in an administrative, customer service, or inside sales support role.
⦁    Strong attention to detail, organization, and accuracy.
⦁    Proficiency in Microsoft Office Suite (Excel, Outlook, Word) or similar office software.
⦁    Ability to multitask and prioritize in a fast-paced environment.
⦁    Excellent written and verbal communication skills.
⦁    Strong problem-solving and follow-up abilities. Effective conflict resolution skills and ability to present facts and recommendations effectively in oral and written form.
⦁    Maintain customer confidentiality and follow company integrity guidelines.

 

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, talk, or hear. The employee is frequently required to sit, use hands to finger, handle, and feel. The employee is frequently required to stand, walk, kneel, and bend. The employee must occasionally lift and/or move from 1-20 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.
