Sales Coordinator

Overview

Job Summary:

The Sales Coordinator plays a critical role in supporting the sales and operational functions of our team. This individual is responsible for managing data, coordinating customer and project information, supporting billing and invoicing processes, and ensuring smooth communication between departments. A high level of attention to detail and strong organizational skills are essential for success in this role.

 

Roles & Responsibilities

Key Responsibilities:

Daily Tasks:

  • Pull the Preliminary Invoice Register and review each line for adjustments in the project and order.

  • Submit finalized invoice register to billing by 10:00 AM.

  • Add new customers to the BCMI app and manage updates as needed.

  • Ensure all BCMI customers are added to the email mailing list.

  • Respond to dispatch email requests for project/order changes before shipping.

  • Enter all lost loads into SharePoint.

  • Log KPI metrics throughout the week; finalize CY totals on Mondays to complete KPI sheet.

  • Collect KPI data from West Ready Mix and submit to management.

  • Maintain weekly logs of CY totals for month-end reporting.

  • Maintain a basic working knowledge of Excel.

  • Log all forecast data into the forecast Excel sheet as quotes are won and emails received.

  • Map and review projects in MapIT for accuracy.

  • Track sales team safety notes and assign monthly THINK forms.

  • Monitor fuel surcharge website and update pricing weekly per chart.

  • Create helpdesk ticket and email IT every Tuesday when fuel surcharge changes; notify West RMC of updates.

  • Manage West RMC credit card for ready-mix expenses; track receipts and submit via Concur weekly.

  • Collect and forward tax-exempt forms to accounting for audit approval.
